To organize a messy Google Drive, you do three things: decide what you keep (and delete or archive the rest), define a folder structure and a naming convention, then apply that structure to your files. Step 1: decide what you keep

Step 2: design the folder structure

Pair the structure with a naming convention so files are identifiable in search results and email attachments, not just by their folder. A solid default: YYYY-MM-DD - type - source.pdf, e.g. 2026-03-14 - invoice - OVH.pdf. Dates first means files sort chronologically everywhere.

Write the structure down before you move a single file. Two minutes in a note saves you from inventing a slightly different scheme in folder twelve.

Step 3: apply it manually

The manual method is exactly what it sounds like: open each file, work out what it is, rename it to match your convention, and drag it into the right folder. Drive helps a little β€” you can select multiple files and use Shift+Z or "Organize > Move" to move them in batch, and search operators from step 1 let you group similar files first.

Be honest with yourself about the cost. Renaming and filing one file takes 20 to 40 seconds once you include opening it to see what it actually is. That's fine for 30 files β€” half an hour with a coffee. At 300 files you're looking at two to three hours of repetitive work, and at 1,000+ it's a project you will realistically never finish in one sitting, which is how Drives end up with a pristine folder tree sitting next to an untouched pile of unsorted files.

Step 4: the automatic way (AI)

You still do the moving yourself, one decision at a time.
